Greenhouse Job Integration (Harvest V3)

This article explains how to connect your Greenhouse Recruiting account with Testlify using Greenhouse Harvest V3, sync your open Greenhouse jobs into Testlify Jobs, and let Testlify move or reject candidates in Greenhouse.

Prerequisites

Before starting, make sure:

• You have an active Greenhouse Recruiting account.
• You can sign in to Greenhouse as a user who is allowed to approve integrations. We recommend a Site Admin.
• You are logged in to your Testlify workspace.

Note: Testlify works with the same access as the Greenhouse user who approves the connection. Jobs and candidates that this user cannot see in Greenhouse will not sync to Testlify.

Step 1: Open the Integrations Page

1. Log in to your Testlify account.
2. Navigate to Settings → Integrations.
3. Scroll down to the Jobs integrations section.
4. Click Greenhouse.

Step 2: Sign In to Greenhouse and Authorize Testlify

1. After clicking Greenhouse, you will be redirected to the Greenhouse sign-in page.
2. Sign in with your Greenhouse account.
3. Review the permissions Testlify requests and click Authorize.

Testlify requests access to:

• Read your jobs and their interview stages
• Read applications, candidates and their resumes
• Read rejection reasons and email templates
• Move applications to the next stage
• Reject applications

Note: All requested permissions must be approved for the integration to work properly.

Step 3: Integration Successfully Connected

Once authorization is complete:

• You are returned to Testlify and your Greenhouse account is connected.
• The integration status appears as Active on the Integrations page.
• Testlify starts syncing your open Greenhouse jobs.

Step 4: View Synced Jobs

1. Navigate to the Jobs page from the top menu.
2. You will see your open Greenhouse jobs.
3. Synced jobs show Greenhouse in the ATS column.

Step 5: Choose a Stage and Sync Candidates

1. Open any synced job from the Jobs page.
2. In ATS applicant stage, select the Greenhouse interview stage you want to screen, then complete the job setup and click Publish.
3. Click Sync Candidates.

Testlify imports the active candidates in that stage, including their resumes.

Step 6: Review Candidate Match Scores

Once candidates are synced:

• Candidate profiles are available inside Testlify.
• Resume match scores and skill breakdowns are generated automatically.
• Recruiters can review candidate profiles and proceed with assessments.

Step 7: Move or Reject Candidates in Greenhouse (Optional)

If enabled in the job's settings in Testlify:

• Auto-advance: candidates who meet your criteria are moved to the next stage in Greenhouse.
• Auto-reject: candidates below your threshold are rejected in Greenhouse with the rejection reason you choose. Greenhouse does not send a rejection email to the candidate.

These actions appear in Greenhouse as performed by the user who authorized the connection.

Upgrading from a Greenhouse API Key

Greenhouse has retired its older Harvest V1/V2 API. If you connected Greenhouse to Testlify with a Harvest API key before October 2026:

1. Reconnect Greenhouse using the steps above. Your existing job and stage settings in Testlify are kept.
2. After reconnecting, delete the old API key in Greenhouse under Configure → Dev Center → API Credential Management. Testlify no longer uses it.

Disconnecting Greenhouse

Go to Settings → Integrations in Testlify, open Greenhouse, and disconnect it. You can also revoke Testlify's access from your Greenhouse account.

Troubleshooting

Unable to See Jobs

• Ensure the jobs are open in Greenhouse. Draft and closed jobs do not sync.
• Check that the Greenhouse user who authorized Testlify can see these jobs.
• Verify that all permissions were approved, then try reconnecting the integration.

Candidates Not Syncing

• Make sure candidates are in the selected interview stage and their applications are active (not rejected or hired).
• Click Sync Candidates again and refresh the page.

"Greenhouse must be reconnected"

Your workspace is still connected with an old Greenhouse API key. Reconnect using the steps above.
