How to Identify Previously Used Candidate Emails During Invitation

Overview

When an employer invites a candidate to an assessment, Testlify now checks whether that email address has a history within the workspace that is, whether the candidate has already been invited to any other assessment in the same workspace.

Based on the result of this check, the employer sees one of four states below the email input field, showing:

• Whether the candidate was invited before
• Which assessment they were invited to
• Who sent the invitation
• What the current status of that assessment is

These indicators are informational only. They do not block or restrict the invite in any way the employer can still invite the candidate regardless of what the check shows.

Supported invite modes:

• Manual invite
• Multiple manual invite

Not supported:

• Bulk invite
• Public invite

How It Works

1. When the employer adds an email to invite manually, or through multiple

2. After adding the email, the system takes a few seconds to process and check the record to see if an invitation was already sent to this candidate for any other assessment in the same workspace including who sent that invitation and what the status of that assessment was, as shown below.

The Candidate history panel lists every assessment this candidate has previously been invited to within the workspace, along with the status (e.g. Completed, Disqualified, Terminated), the last activity date, and who invited them. Click the external link icon next to any row to open that assessment.
2. A note at the bottom reminds the employer that "Inviting again may create duplicate records." This is a warning only click View candidate to see the candidate's full profile, or Cancel to close the panel and proceed with the invite as normal.
