References Tab in Assessment Settings (Candidate background check)
Overview
The References Tab has been introduced in the Assessment Settings to enable structured collection and management of candidate references as part of the hiring workflow. This feature supports multiple reference collection modes, automated workflows, and configurable assessment linking for background verification.
This feature is now live.
Where to Find It
While creating or editing an assessment, navigate to:
Settings → References tab
The tab appears after the Completion tab.
By default, the Reference collection mode is set to:
- Disabled

Reference Collection Modes
The system supports four modes:
1. Disabled (Default)
- No reference collection is triggered.
- Standard assessment flow continues.
2. Immediate After Assessment
- Candidates are prompted to submit reference details immediately after completing the assessment.
- A “Provide reference details” screen appears before feedback is collected.
- No email notifications are sent
- “Reference workflow automation” is simplified:
- Only Auto-invite referees is enabled
- Other scheduling fields are removed
3. Score-Based
Triggers reference collection based on candidate score.
Configuration fields:
- Score threshold
- Trigger delay
- Period
- Submission timeline
Only candidates meeting the score threshold will be prompted for references.
4. Stage-Based
Triggers reference collection based on hiring stage.
Configuration:
- Stage-based dropdown (includes all pipeline stages)
- Trigger delay
- Period
5. All Completed Candidates
- All candidates who complete the assessment are included.
- No score or stage conditions applied.
- Only:
- Trigger delay
- Period are configurable.

Submission Timeline Options
You can define when reference submission expires:

- No expiration fields shown

Auto-Invite Referees
- Enabled by default
- Automatically sends emails to referees once candidate submits reference details

Linked Reference Assessment
You can link a background check assessment for referees:
- Create an Background Check Assessment
- Link the assessment to candidates assessment
- Referees will be assigned this assessment automatically



Reference Information (Custom Fields)
During setup, you can define what candidate reference data is collected.
Common fields include:
- Name
- Phone number
- Relation
- Company/Organization
- Other custom fields
Relation Options:
- Manager
- Direct Report
- Colleague
- Client
- Business Partner
- Academic
- Other (Professional)


Candidate Experience
- Candidate sees a reference submission form after assessment (based on configuration)
- Default number of reference rows is based on Minimum references required
- Candidates can add references up to Maximum references allowed
- “Add more” disappears after max limit is reached
- Pre-configured mandatory fields cannot be deleted

Reference Collection Rules
- Minimum references required → cannot be removed
- Maximum references allowed → upper limit enforced
- Delete option disabled for system-required fields
Candidate Flow Enhancements
- Referees are pre-filled with candidate-provided data
- Email & Name fields are pre-populated in referee assessment
- Referee receives a separate assessment link if configured
Reporting & CDP Enhancements
A new References tab is available in Candidate Detail Page (CDP):
Features:
- Shows completion status (e.g., 1/6 completed)
- Displays “Added by” (Candidate or Employee)
- Actions:
- View linked assessment
- Download background check report
- Add references manually

Email Notifications
1. Candidate Email
Subject: Action required: Submit your references
Candidates are asked to submit reference details via a form link.
2. Reference Email
Subject: Reference request for {{Candidate Name}}
Referees receive a short questionnaire link with confidentiality assurance.
Key Notes
- Public invite links are removed for reference check assessments
- Bulk invite uses updated CSV format including referee + candidate mapping
- Candidate & referee flows are fully configurable via assessment settings
